Sales Service Specialist – Marion County Tourist Development

This position is recruited and staffed with reSOURCE Government Services, not Marion County Government BoCC

Location:  Marion County Tourist Development 109 W Silver Springs Blvd., Ocala FL 34475
Work Schedule:  Monday – Friday;  8:00 AM – 5:00 PM 
Pay Rate:  $18.24 per hour
*Required:  Must be able to clear pre-employment background, drug test, and physical; Must possess a valid and active Driver's License w/ relatively clean driving record*

JOB SUMMARY
Responsible for providing administrative assistance in the Tourism Development department, specifically the sales team, to facilitate and help advance group sales business and events in Marion County.

ESSENTIAL FUNCTIONS
  • Serves as primary contact for Department to process administrative and reimbursement tasks relating to all VCB funding programs.
  • Performs administrative work and follow-up in sales programs proactively to support success of sales team in meeting sales goals.
  • Works with Industry and Community Relations Coordinator to advance travel trade and tour operator programming and sales initiatives, which may include travel relative to this segment.
  • Researches and maintains list of applicable regional, state and national grant programs and applies for funding, as directed.
  • Mines for and follow up on leads using various databases to support a proactive sales funnel process.
  • Serves as clerk for the Tourist Development Council Meetings in absence of the Visitor Relations Representative.
  • Updates customer relationship management (CRM) database on a weekly basis to reflect all tourism projects in the pipeline and ensure completion by scheduled deadlines.
  • Arranges for meetings and conferences and may attend. Maintains calendars.
  • Prepares correspondence and recurring reports for supervisor’s review and management approval.
  • Researches, plans and works with Group Sales Supervisor and/or Marketing and Communications Supervisor to conduct familiarization tours and site visits for prospective sports/event planners and/or journalists that are seeking information relative to group travel.
  • Provides site inspection agendas and details to all venues involved in the tourism industry i.e. venues, hotels, attractions, restaurants, etc.
  • Responsible for generating and tracking sales and events reports, in coordination with the Group Sales Supervisor, to the Tourist Development Council.
  • Assists with industry outreach and communication as directed.
  • Conducts bookkeeping functions with Procurement/Finance Departments in coordination with Tourist Development Assistant Director and Group Sales Supervisor related to tourism funding requests, travel preparation and reimbursement, etc.
  • May, at times, represent the Tourist Development Department at events that are supported by the funding programs.
  • Researches and prepares sales material for tradeshow and meetings as directed.
  • Gathers collateral items for groups, i.e., sports, weddings, reunion, meetings., etc.
  • Develops and routes legal request memorandums and/or contracts for funding recipients.
  • Liaises with funding recipients and appropriate internal departments to coordinate appropriate back-up documentations for event contracts and reimbursements.
  • Proofreads copy and corrects drafts for grammar, punctuation, and spelling in order to produce error-free work. Items include, but are not limited to printed sales collateral, website copy, quarterly reports, meeting minutes, funding contracts, requests for proposals, etc.
  • Prepares and reviews various financial reports and records.
  • Utilizes different computer programs and performs word processing and extensive data entry.
  • Maintains CRM program for accuracy.
  • Provides support with RFP dissemination as needed.
  • Provides excellent customer service to members of the general public and other County employees. Personal contact occurs with other employees of the unit, employees of other departments in the County, citizens, and customers of the department. Service is provided in person or by phone contact.
  • Implements the organization’s guiding principles and core values.
  • Performs other related job duties as assigned.

SUPERVISION
This position has no supervisory responsibility.

QUALIFICATIONS
Education and Experience:
Associate’s Degree in Business, or equivalent; and two (2) years’ related experience and education; or an equivalent combination of education and experience.
Licenses or Certifications:
Possession of a valid, State of Florida driver’s license to operate a motor vehicle. Requirement exists at the time of hire and as a condition of continued employment.

Notary required within 1 year of employment.
